1. Purpose
The purpose of this policy is to establish clear guidelines for order backdating and ensure that order date adjustments are handled consistently and appropriately.
Neumi understands that certain circumstances, such as unsuccessful payment attempts or system processing errors, may require an order date correction. This policy outlines the situations in which backdating is permitted and the circumstances in which it is not allowed.
2. General Guidelines
Order backdating may be permitted under specific circumstances when sufficient documentation is available to support the request.
All requests must be submitted to Customer Service for review and processing, in accordance with the guidelines outlined below.
Note: Exceptions will be made as long as the commission period hasn’t officially closed.
3. Permitted Circumstances
Backdating may be permitted under the following circumstances:
3.1. Documented Attempt to Place an Order During the Original Commission Period
An order may be eligible for backdating when there is verifiable documentation showing that the customer or Member attempted to place the order during the month for which the order is intended to count toward commission qualification, but the transaction was unsuccessful.
Example:
A customer attempts to place an order in October, but the payment is declined. The customer subsequently contacts Customer Service to resolve the payment issue and complete the order.
If the original transaction attempt and the corresponding communication can be verified, the order may be backdated to October so that it reflects the original purchase attempt and applicable commission period.
3.2. System Processing Errors
Backdating may also be permitted when an order was not processed correctly due to a technical issue, system error, or processing failure.
In these cases, the order date may be corrected to reflect the date on which the order was originally intended to be processed, provided that the issue can be verified through available system records or internal documentation.
4. Prohibited Circumstances
Backdating is not permitted under the following circumstances:
4.1. Promotional Packages
Orders involving promotional packages, special promotional offers, or promotional bundles cannot be backdated.
These orders must reflect the actual date on which the promotional order was placed and processed.
4.2. Incentive and Commission Programs
Backdating is not permitted during months in which Neumi is running special incentive programs, commission-based promotions, bonuses, contests, or other compensation-related initiatives.
This restriction ensures that order date adjustments do not affect eligibility for special incentives, bonuses, commissions, or other promotional benefits.
5. Documentation Requirements
To ensure proper processing, backdating requests must be supported by appropriate documentation, when applicable.
Supporting documentation may include:
- Original order attempt records.
- Payment transaction records showing a declined or unsuccessful transaction.
- Customer or Member communications with Customer Service.
- System records confirming a technical or processing error.
- Any additional information needed to verify the original transaction date.
Requests that cannot be supported by sufficient documentation may not qualify for backdating.
6. Processing and Customer Service
Customer Service is responsible for reviewing backdating requests, verifying the supporting information, and processing eligible adjustments in accordance with this policy.
All adjustments should be properly documented to maintain accurate order records and ensure consistency in order processing and commission qualification.
7. General Policy Reminder
Order backdating is intended to address legitimate payment processing issues and system-related errors. It should not be used to change order dates for personal convenience or to obtain eligibility for commissions, incentives, or promotional benefits that would not otherwise apply.
We appreciate everyone's cooperation in following these guidelines and helping maintain accurate and consistent order records.
